Stop answering the same questions in Slack
"Where do I request access?" "Which travel policy applies?" "Who approves a new vendor?" These are reasonable questions. The problem is that each answer disappears into a conversation, leaving the next employee to ask again. Operations, HR and IT leads become a search service for documents that already exist. To stop answering the same questions in Slack, make the answer reusable, traceable and owned. Start with the sources behind recurring questions, then bring those answers into the channels where employees already work.

Look for questions that interrupt the same people
Read your help channels and identify questions answered from an existing policy, runbook or process document. Keep requests for judgment separate. "How do I request a laptop?" can come from a runbook. "Can we approve an exception?" needs an accountable person. The distinction keeps automation useful without making it responsible for decisions it cannot authorize.
Record the employee's wording, the supporting document and the person who maintains it. If an expert answers from memory, ask where that guidance is written. An answer without a maintained source is a documentation task before it is a bot task. Do not turn a confident chat reply into policy just because it received a positive reaction.
Give each recurring topic a department owner
Keep approved guidance in the places your team already maintains it. Connect the relevant Google Drive, SharePoint, Confluence, Notion or Dropbox sources rather than creating another copy that can drift. Include useful Slack knowledge only when its authority is clear. A conversation about a possible policy change should not compete with the approved policy.
Use department spaces to organize responsibility. HR owns leave and benefits guidance. IT owns access and device runbooks. Operations owns purchasing and process documentation. Identify current documents, remove superseded material from the active collection and name a space owner who can resolve conflicting guidance.
| Employee question | Source to prepare | Person responsible |
|---|---|---|
| "How do I request parental leave?" | Approved leave policy and request process | HR space owner |
| "How do I request software access?" | Access runbook and approval policy | IT space owner |
| "Who approves a supplier?" | Purchasing process and approval rules | Operations space owner |
Verify guidance that employees rely on
A saved reply is convenient, but a maintained answer needs an owner and a review date. In ChatDocument, verified answers carry both, together with version history. Use them for recurring questions where a casual paraphrase could change the instruction, such as eligibility rules, security requirements or approval responsibilities.
Read the source passage before verifying the answer. Keep exceptions and escalation instructions attached. "Submit the request to HR" is incomplete if the policy also requires manager approval. When the source does not cover the employee's situation, preserve that gap and ask the owner. Reusing an unsupported answer only spreads the uncertainty faster.
Introduce the bot with a clear handoff
ChatDocument is a team knowledge base with a workspace and department spaces. Its Slack and Microsoft Teams bot is included on Business and Scale. Employees can message it directly, mention it in a channel or receive automatic answers in help channels. Answers link to their supporting passages and follow source permissions.
Begin with a help channel whose documents and owner are ready. Explain how to ask, open a citation and request a person. When the documents do not contain the answer, the bot says so, shows the closest passages and hands off to a person. Tell employees who receives those unresolved questions so the handoff feels like progress.
- Open the IT portal and choose Reset VPN profile.
- Approve the push notification on your phone.
- Restart the VPN client and sign in with your company account.
Keep access rules consistent across conversations
Connecting a source should not widen access to it. ChatDocument inherits permissions from sources, so employees receive answers only from documents they can open. Private department spaces keep sensitive HR or Legal material inside the appropriate group. Assign admin, space owner, member and reader roles according to responsibility.
Before rollout, ask the same policy question as a reader and as its owner. Check the cited passages and the channel where the answer appears. Remind employees that a shared link does not authorize copying restricted content into a public conversation. Access administration and careful channel habits belong together.
Review unanswered questions with their owners
The useful measure is whether employees can act on a sourced answer. Review top topics, unanswered trends and questions that still reach experts. ChatDocument groups unanswered questions for the right owner and flags conflicting or outdated documents on Business and Scale. Use that list to decide which source needs attention next.
If employees repeatedly ask a question that already has a good answer, examine its wording and context. The policy may use a term employees never use. If answers conflict, resolve the documents before verifying another reply. After a policy change, review the source and the verified answer together, then let the team know what changed.
Should every Slack question receive an automatic answer?
Use automatic replies for documented help topics with a clear owner. Exceptions, approvals and personal situations still need a person. Keep the handoff visible so employees know how to continue when a sourced answer cannot resolve their request.
What if our team works in Microsoft Teams?
The same workspace, department spaces, verified answers and source permissions support the Microsoft Teams bot. Business and Scale include both bots, so departments can use their usual conversation channel while sharing maintained company knowledge.
Which plan supports this workflow?
Team includes verified and saved answers, roles and basic analytics. Business adds Slack and Teams, knowledge gaps, onboarding paths and leadership reports. Scale adds SSO, SCIM, audit log, retention rules, API, webhooks and an intranet widget. Compare the current limits on pricing.
Give repeated questions a maintained answer
Create a ChatDocument team workspace, connect your approved sources and give department spaces accountable owners. Choose Team for browser access, Business for Slack and Teams, or Scale for advanced administration. Start with the questions your team already asks and verify the answers people rely on.
