A knowledge base for departments that work together
ChatDocument is a knowledge base for departments within a shared company workspace. HR, Sales, Support, Legal, IT and Operations each have a space with responsible owners. Employees ask within their department or across the spaces they can access, with every answer linked to its source.
Give each department a home for its knowledge
Company documentation often has clear owners even when the files are scattered. HR maintains the handbook, IT maintains access procedures and Operations maintains working processes. Department spaces make those responsibilities visible without requiring teams to move their documentation into a new wiki.
Connect Google Drive, SharePoint and OneDrive, Confluence, Notion, Dropbox and Slack, alongside uploaded documents, websites and help centers. Sources stay where they are, and new or edited documents are picked up on their own. A space brings that knowledge into the context of the department that uses and maintains it.
Each space has owners and members. Workspace roles include admin, space owner, member and reader. Private spaces keep sensitive knowledge within the appropriate team, while source permissions continue to determine which documents a person can use.
Organize around the work employees need to do
Use real questions to decide which documentation belongs in the team's knowledge base. A space is useful when it answers a task clearly enough for the employee to continue and gives them a source to check.
| Department | Question an employee might ask | Relevant knowledge |
|---|---|---|
| HR | "How do I request parental leave?" | Handbook and leave procedures |
| Sales | "Who approves a pricing exception?" | Pricing guidance and approval policy |
| Support | "What is the documented workaround for an export error?" | Runbooks and help center guidance |
| Legal | "Which agreement applies to this type of engagement?" | Approved contract guidance |
| IT | "How do I request access to the reporting dashboard?" | Access procedures |
| Operations | "Who owns the incident response checklist?" | Operating procedures and responsibilities |
The questions illustrate how a department space supports everyday work. ChatDocument answers from your actual documentation, so it does not invent the company's leave rules, approval limits or contract terms.
Put recurring answers under the right owner's care
When employees repeatedly ask "Who approves an exception?" the department owner can verify the useful guidance, set a review date and maintain version history. Verified answers give the team a response with a responsible expert behind it. Saved answers help colleagues reuse useful guidance.
On Business and Scale, unanswered questions are grouped for the right owner, and conflicting or outdated documents are flagged. Department ownership makes those knowledge gaps actionable. The team responsible for a policy can clarify it in the source and review the answer employees rely on.
Help new employees find their department's starting point
Business and Scale include onboarding paths by department. First questions have sourced answers, and managers can see progress. New employees learn how to find the documented process while keeping the same assistant for later questions.
The Slack and Microsoft Teams bot also comes with Business and Scale. Employees can ask through direct messages, mentions and help channels, with source links and the same permissions as the browser. A missing answer can be handed off to a person.
Choose the space allowance your team needs
Team includes 10 department spaces. Business and Scale include unlimited spaces, within the plan's usage allowances for questions and newly indexed pages. Verified and saved answers and roles come with every team plan. See pricing for source, people and usage limits.
