Permission aware AI search across company documentation
ChatDocument provides permission aware AI search for your whole team. Employees ask across company documentation and get answers only from documents they are allowed to open. Permissions inherited from sources work alongside department spaces, private spaces and clear roles for the people managing knowledge.
Keep the access rules your team already has
Connecting a source makes its knowledge easier to ask about while preserving who can use it. If an employee cannot open a compensation sheet in SharePoint, ChatDocument does not quote that sheet in an answer. A question about company policy does not become a way into restricted personnel records.
This applies when people ask within a department and when they ask across the spaces they can access. The assistant can bring together relevant guidance without treating every connected document as companywide material. Employees do not need to choose between useful answers and the boundaries around sensitive knowledge.
A practical question might be "Where is the policy for requesting a salary review?" General employee guidance can answer the process question. Restricted compensation records remain subject to their existing source permissions.
Give sensitive knowledge its own space
Department spaces add ownership and membership around company knowledge. HR can keep employee guidance available to its intended audience while using a private space for sensitive material. Legal can maintain restricted documentation without making that material available to the whole workspace.
Organize spaces around the teams responsible for the documents. Keep broadly useful procedures separate from material with a narrower audience. This helps owners understand what employees should be able to ask and which documentation needs a private setting.

| Access layer | Purpose |
|---|---|
| Source permissions | Determine which source documents a person can use |
| Department spaces | Organize knowledge with owners and members |
| Private spaces | Keep sensitive team material within its intended audience |
| Workspace roles | Define responsibility through admin, space owner, member and reader roles |
HR space
Private spacePermissions mirrored from SharePointLet employees inspect the guidance they can use
Every sentence in an answer links to its document, section and space. Clicking the citation opens the passage. Employees can read the conditions behind a policy without asking someone else to locate the source again.
Source access governs which documents contribute to that answer. For "Who approves a contract exception?" the employee receives guidance from accessible procedures. The question does not grant permission to read a restricted contract or a private Legal document.
When accessible documentation does not contain the answer, ChatDocument says "not in your documents" and shows the closest passages it checked. It does not invent a policy to fill the gap. See cited answers for how employees inspect the evidence behind a response.
Carry the same rules into Slack and Teams
The Slack and Microsoft Teams bot uses the same sources and permissions as the web app. Direct messages, channel mentions and automatic help channel answers stay connected to company documentation and its access rules. The bot hands off to a person when the documents do not answer.
Use a private space for questions involving sensitive department material and choose the appropriate work chat conversation for the employee's task. Department owners remain responsible for the guidance they publish and the audience it is intended to serve. Both bots come with Business and Scale.
Add identity and audit controls as your team needs them
Roles, private spaces and verified answers support day to day knowledge ownership. Scale adds SSO (SAML), SCIM, an audit log and retention rules for organizations that need those administration controls.
Documents use TLS in transit and encryption at rest. They are never used to train AI models, and AI model providers are bound by contract not to train on your content. You can delete a document, a source or the workspace at any time. Read the security page and compare plans for the full scope.
FAQ
Can asking across spaces bypass source permissions?
No. Employees can ask across spaces they can access, and answers only use documents they are allowed to open in the source.
Which roles does ChatDocument use?
The roles are admin, space owner, member and reader. Department spaces have owners, and private spaces support knowledge with a restricted audience.
Does Team include roles?
Yes. Roles are included with Team, Business and Scale. Scale adds SSO (SAML), SCIM, the audit log and retention rules.
