Sales enablement software for answers your team can defend

A rep asks which product capability is documented, a proposal writer needs an RFP response, and a buyer sends a security questionnaire. Your sales lead becomes the route to every specialist. ChatDocument brings your team's product, commercial and security knowledge into a shared workspace. Reps ask across the documents they can access and get answers with sources they can inspect before replying to a buyer.

Build the answer library from approved material

Connect product documentation, the sales playbook, pricing rules, proposal guidance and approved security responses. Sources can stay in Google Drive, SharePoint and OneDrive, Confluence, Notion or Dropbox. You can also upload documents and connect your product help center. New and edited connected documents are picked up automatically.

Include the rules for using an answer as well as the answer itself. A past proposal may describe an exception for a particular agreement. Your current pricing policy and product documentation should be available alongside it so a rep can check whether that response applies. The table shows examples of documents to supply.

Put common deal questions beside their sources

Every answer sentence links to a document, section and space. Open the passage before reusing it, especially when a questionnaire asks for a commitment that goes beyond the documented policy.

Typical employee questionDocument to connect
"Which product capabilities answer this RFP requirement?"Product capability guide and approved RFP responses
"What can I say about our access controls?"Approved security questionnaire responses and access policy
"Who approves a discount outside the standard rules?"Pricing and discount approval policy
"Which implementation steps can I include in a proposal?"Implementation guide and statement of work guidance
"Where is the approved answer about data retention?"Data retention policy and security response library
"Which contract terms require Legal review?"Contract escalation playbook
"Does this previous proposal describe a customer exception?"Previous proposal and its documented approval context

Keep shared enablement separate from restricted deals

Create a Sales space for reusable guidance and private spaces for restricted proposal or contract material. Name a sales enablement space owner, with product, security and Legal owners responsible for their source documents. Assign admin, space owner, member and reader roles according to how colleagues use the workspace.

Source permissions remain in force. A rep can only receive answers from documents they can open, and membership controls access to department spaces. Keep confidential negotiations restricted to the people working on them. Shared guidance can link to the approved process without exposing the underlying deal documents. Product screen: a proposal writer asks about a security questionnaire requirement in the Sales space. The answer cites the approved security response and policy passages, with an owner and review date beside the verified answer.

Check the source before sending the response

Ask an RFP or security questionnaire question in the browser, or use the Slack and Microsoft Teams bot on Business and Scale. Direct messages, mentions and automatic replies in help channels bring documented answers into the conversation with specialists. The bot uses the same source permissions and links to the supporting passages.

If a requirement is undocumented, ChatDocument says "not in your documents" and shows the closest passages. Hand the question to the relevant person. The sales team can then request approved wording and add the resulting documentation to its library before reusing the answer in another proposal.

Give reusable claims an accountable owner

Have the appropriate expert verify recurring answers about capabilities, implementation and security. Verified answers carry an owner, review date and version history. Save them for the team so proposal writers can find the guidance again and see its source.

Business and Scale group unanswered questions for the right owner and flag conflicting or outdated documents. A repeated RFP requirement without a documented answer becomes a clear item for product or security review. Department analytics show the topics reps keep asking about, while leadership reports help the sales lead plan updates to enablement material.

FAQ

Can we use answers from previous proposals?

Yes, when the documents are connected and accessible. Check their scope and the current policy before reusing customer specific wording. Expert verification helps identify the response your team approves for reuse.

Does an answer approve a commercial exception?

The answer shows what the documents say. Your sales team follows the approval process in those documents before making a commitment.

Which plan includes chat and gap detection?

Business and Scale include the Slack and Microsoft Teams bot, knowledge gaps and leadership reports. Team includes verified and saved answers, roles and basic analytics. See pricing for plan details.
