An internal knowledge base for everyday employee questions

"How do I request access?" and "Which policy applies to this expense?" should lead to documented guidance. ChatDocument gives your whole team a shared place to ask company documentation, with a source on every answer sentence. Department spaces and inherited permissions keep internal knowledge useful to the people who should see it.

Try it on a sample company

Make the handbook and the runbook easy to ask

Employees rarely know which document contains an answer before they ask. A new hire may know the task they need to complete without knowing whether HR, IT or Operations owns it. Internal knowledge base software should let them describe that task in their own words.

DepartmentEmployee questionUseful source material
HR"How do I request parental leave?"Handbook and leave policy
IT"What is the process for requesting software?"Access guide and software policy
Operations"Who approves a supplier change?"Purchasing policy and operating procedure
Support"When should I escalate an unresolved issue?"Support runbook and escalation guidance

ChatDocument connects documentation across departments and answers from the spaces an employee can access. The employee can open the original passage before acting, save the explanation for reuse or share the answer by link with a colleague who has access.

Connect internal knowledge without moving it

Add Google Drive, SharePoint and OneDrive, Confluence, Notion, Dropbox and Slack. Upload PDF, Word, Excel and PowerPoint documents, or include websites and help centers. New and edited documents are picked up on their own while the original material stays where its owners maintain it.

Set up department spaces for HR, Sales, Support, Legal, IT and Operations as needed. Give each space an owner and connect the documentation that supports its recurring questions. The department spaces guide explains how the workspace is organized.

Share policy without sharing private records

An internal workspace needs clear boundaries. A handbook can be useful across the company while employment contracts belong inside a restricted group. ChatDocument inherits permissions from the sources, so answers only use documents the employee is allowed to open.

Private spaces add boundaries for sensitive department material. Roles include admin, space owner, member and reader. Before inviting a wider group, review the source permissions and the people assigned to each space. On Scale, SSO through SAML, SCIM, audit log and retention rules support workspace administration.

Show what is documented and what needs an owner

Every sentence links to a document, section and space, and clicking a citation opens the passage. If the source material does not answer "Can a contractor follow the same access process?", ChatDocument says "not in your documents" and shows the closest passages rather than inventing a rule.

Verified answers have an owner, review date and version history. On Business and Scale, unanswered questions are grouped for the right owner, and conflicting or outdated documents are flagged. HR and IT can use those questions to decide what needs clarification in their original documentation.

Support employees in the browser and company chat

Everyone can ask in the web app. Business and Scale also include Slack and Microsoft Teams bots with direct messages, mentions and automatic answers in help channels. Answers use the same sources and permissions and link back to the passage. Questions without a documented answer can be handed to a person.

Onboarding paths on Business and Scale give each department a set of first questions with sourced answers. Managers see progress, while new hires keep using the workspace as their responsibilities develop. Read about employee onboarding.

Start with the team that owns the questions

Team costs $149 monthly for up to 15 people, or $74.50 per month billed yearly at $894. It includes 3,000 shared questions per month, 5 connected sources, 10 spaces, verified and saved answers, roles and basic analytics.

Business adds the chat bots, gap detection, onboarding paths and leadership reports. Scale adds advanced administration, API, webhooks and the intranet widget. Check pricing for the question, page and file limits that apply to each plan.

FAQ

Can employees ask across departments?

Yes. They can ask across the spaces they have access to. Restricted source documents remain restricted in answers.

Does the workspace replace our HR system?

ChatDocument answers from company documentation. Connect the handbook and policies that explain a process, and use the responsible business system for the process itself.

Can we remove internal documentation?

Yes. You can delete a document, a source or the workspace at any time. Documents are encrypted in transit and at rest and are never used to train models.

Put internal guidance within reach of the team

Connect the documentation behind your recurring employee questions and give the responsible departments their own spaces.
