Knowledge management software that gives knowledge an owner
Finding an answer is part of the job. Keeping that answer useful is the work behind it. ChatDocument connects your company documentation, gives departments spaces with owners and turns employee questions into sourced answers. Verified guidance, review dates and knowledge gaps help teams maintain the knowledge they depend on.
Manage the answer from question to review
"Which process applies when a customer changes their contract?" may reach Sales, Legal and Operations. Knowledge management software needs to show what the documents say and who should resolve an unanswered detail. A folder full of material does not tell an employee whether the guidance still applies.
| Knowledge task | ChatDocument workflow | What the owner checks |
|---|---|---|
| Make guidance accessible | Connect sources and organize department spaces | Correct documents and access |
| Explain a process | Answer employee questions with cited passages | Evidence behind the explanation |
| Maintain an approved answer | Assign an owner and review date | Whether guidance still applies |
| Address missing knowledge | Review grouped unanswered questions | What needs documenting |
ChatDocument brings source documents, questions and ownership into a company workspace. Department owners maintain their spaces. Employees get answers with links to the exact passages. Important answers can be verified with an owner, a review date and version history, then saved for the team to reuse.
Work with the documentation people already maintain
Connect Google Drive, SharePoint and OneDrive, Confluence, Notion, Dropbox and Slack. Include uploaded PDF, Word, Excel and PowerPoint documents, websites and help centers. Sources stay where they are, and new or edited documents are picked up on their own.
- Google Drive1,248 files
- SharePoint and OneDrive862 files
- Confluence410 pages
- Notion196 pages
- Dropbox233 files
- Slack12 channels
- PDF, Word, Excel and PowerPoint uploads73 files
- Websites and help centers2 sites
That lets a department improve its original guidance without maintaining a separate copy just for answers. An employee asking "Where do we record an exception to the purchasing process?" can reach the relevant policy even when the procedure and the approval guidance live in different connected sources.
Keep evidence beside the explanation
Every answer sentence links to a document, section and space. Clicking the citation opens the passage. Employees can distinguish an explicit policy from an unresolved question by reading the material behind the answer.
When the documentation does not contain an answer, ChatDocument says "not in your documents" and shows the closest passages. On Business and Scale, gap detection groups unanswered questions for the right owner and flags conflicting or outdated documents. Owners can use those signals to decide which policy or process needs attention. See knowledge gaps for that workflow.

Give departments responsibility without exposing private material
Permissions are inherited from the sources. Private spaces keep restricted HR and Legal documents within the right group. Admin, space owner, member and reader roles organize access and responsibility within the workspace.
Business and Scale bring the same sourced answers into Slack and Microsoft Teams through direct messages, mentions and automatic answers in help channels. The bot hands off to a person when the documents do not answer. Department onboarding paths give new hires their first questions with sourced answers, and managers can see progress.
Let employee questions guide maintenance
Analytics show top questions and topics by department, the share of answers with a source, unanswered trends and estimated hours saved. CSV export and the monthly leadership report by email help owners discuss documentation work with the people responsible for it. Leadership reports come with Business and Scale.
Treat an unanswered topic as a prompt to inspect the source material. A repeated question such as "Who owns the customer handover?" can reveal a missing process explanation even when the team already has extensive documentation.
Match the plan to the knowledge workflow
All plans include verified and saved answers, roles and basic analytics. Team supports up to 15 people at $149 monthly, or $74.50 per month billed yearly at $894. Business supports up to 50 people at $399 monthly and adds gap detection, bots, onboarding paths and leadership reports. Scale supports up to 200 people at $999 monthly and adds advanced administration and the API. Review pricing for yearly billing and shared usage limits.
FAQ
Can we keep editing documents in our existing tools?
